This policy covers the GC Moderation Discord bot and its optional web dashboard only. It is separate from the grubbycreations.com mod download privacy policy.

1. Introduction

This Privacy Policy describes how GC Moderation (“we”, “us”, or “the Service”) collects, uses, and stores information when you interact with our Discord bot and optional web dashboard.

GC Moderation is a Discord moderation tool that provides server whitelisting, support tickets, image-only channels, global bans, and related administration features.

2. Information we collect

Depending on how you use the Service, we may collect the following:

Discord account information

  • Discord user ID, username, and display name
  • Server (guild) IDs and names
  • Channel IDs
  • Role and permission information needed to operate moderation features

Moderation and configuration data

  • Server whitelist entries (server ID, who added it, optional notes)
  • Global ban records (user ID, reason, who issued the ban, date)
  • Image-only channel settings
  • Ticket configuration and support ticket records
  • Responses you submit through ticket forms

Audit and activity logs

  • Records of bot actions (commands used, bans, kicks, whitelist changes, ticket events)
  • Actor IDs (who performed an action) and affected user IDs
  • For image-only enforcement: a short preview (up to 200 characters) of deleted non-image messages may be stored in logs

Web dashboard data (if you log in)

  • We use Discord OAuth to authenticate you. We request the identify and guilds scopes.
  • We receive your Discord user ID, profile information, and a list of servers you belong to (to determine admin access).
  • Session tokens are used to keep you signed in to the dashboard.

What we do not intentionally collect

  • We do not sell your data.
  • We do not collect payment information through the bot.
  • We do not routinely store full message history outside of the limited cases described above.

3. How we use information

We use collected information to:

  • Operate moderation features (tickets, global bans, image-only channels, server whitelist)
  • Enforce global bans across participating servers
  • Provide server administrators access to the web dashboard
  • Maintain audit logs for security and accountability
  • Improve reliability and troubleshoot issues

4. Legal basis & Discord

GC Moderation operates through the Discord API. Your use of Discord is also governed by Discord's Terms of Service and Discord's Privacy Policy.

Server administrators who add the bot to their server are responsible for informing their members that moderation tools are in use, as required by applicable law and Discord's policies.

5. Data storage & retention

Data is stored in a database on servers we operate (or hosting providers we use) to run the bot and dashboard. Data is retained for as long as needed to provide the Service, comply with moderation requirements, or until it is deleted by authorized administrators or upon request where applicable.

Audit logs, ban records, and ticket data may be kept for extended periods for security and compliance purposes.

6. Data sharing

We do not sell or rent your personal information. We may share data only:

  • With Discord, as required for the bot and OAuth to function
  • With hosting/infrastructure providers that help us run the Service
  • When required by law or to protect the rights, safety, and security of users and the Service
  • With server administrators who have permission to view moderation data for their server

7. Your rights & choices

Depending on your location, you may have the right to:

  • Request access to data we hold about you
  • Request correction or deletion of your data
  • Object to or restrict certain processing
  • Withdraw consent where processing is consent-based

To exercise these rights, contact us using the details in Section 1. You may also leave any Discord server using the bot, or revoke the bot's access to your server if you are an administrator.

If you have logged into the dashboard, you can sign out at any time. You may also revoke the application under Discord → User Settings → Authorized Apps.

8. Security

We take reasonable measures to protect stored data, including access controls and secure hosting practices. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Children

The Service is not directed at children under 13. Discord requires users to meet its minimum age requirements. We do not knowingly collect information from children under 13.

10. International users

If you access the Service from outside the country where our servers are located, your information may be transferred to and processed in that country or other countries where our providers operate.

11. Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last updated” date. Continued use of the Service after changes constitutes acceptance of the revised policy.
